TCM1000364 - How to amend hours worked
Step 1
If you are not already on the 鈥榃ork Details鈥� screen, go to Step 2.
If you are already on the 鈥榃ork Details鈥� screen, go to Step 3.
Step 2
On the 鈥楩unction Menu鈥�
- select 鈥楢pplication鈥� on the toolbar
- select 鈥楥hange of Circumstances鈥� from the options available. You鈥檒l be taken to the 鈥楰ey Entry Data鈥� screen
- enter the customers NINO
- select the relevant checkbox
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥楢pplicant Details鈥� screen.
If you are taken to the 鈥楽elect Household鈥� screen
- select the relevant claim
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥楢pplicant Details鈥� screen
- select 鈥榃k1鈥� or 鈥榃k2鈥� as appropriate. You鈥檒l be taken to the relevant 鈥榃ork Details鈥� screen
- go to Step 3.
If you are taken to the 鈥楽elect Application鈥� screen
- select the relevant claim
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥楢pplicant Details鈥� screen
- select 鈥榃k1鈥� or 鈥榃k2鈥� as appropriate. You鈥檒l be taken to the relevant 鈥榃ork Details鈥� screen
- go to Step 3.
If you are taken straight to the 鈥楢pplicant Details鈥� screen
- select 鈥榃k1鈥� or 鈥榃k2鈥� as appropriate. You鈥檒l be taken to the relevant 鈥榃ork Details鈥� screen
- go to Step 3.
Step 3
Check, from the information already provided, the date the change in hours occurred.
Note: From 6 April 2012, if a customer tells us within a month about a change of circumstances that increases the maximum rate of tax credits they are entitled to, their award can be amended from the date of the change. For changes notified after one month their award can only be amended one month prior to the date the change was notified.
Note: If a change is notified that does not alter or decrease the maximum rate of tax credits the claimant is entitled to, it will be applied from the date of the change.
If the change occurred more than one month before today鈥檚 processing date because the customer failed to notify you within one month, go to Step 4.
If the change occurred more than one month before today鈥檚 processing date because you haven鈥檛 yet applied the change (customer originally notified us within one month), go to Step 6.
If the change occurred within one month, go to Step 9.
Step 4
If the customer is entitled to a four-week run-on, go to Step 6.
If the customer isn鈥檛 entitled to a four-week run-on, go to Step 5.
Step 5
Will the change increase the maximum working tax credit award before any income reduction is applied?
If the change will increase the maximum working tax credit award and you鈥檝e been notified today, go to Step 7.
If the change will increase the maximum working tax credit award and you were notified before today, go to Step 8.
If the change will not increase the maximum working tax credit award, go to Step 6.
Step 6
On the 鈥榃ork Details鈥� screen
- select 鈥楬istory鈥� on the toolbar menu
- select 鈥楬ours Worked鈥� from the options available. You鈥檒l be taken to the 鈥楬istory鈥� screen
- select 鈥楴ew鈥�. You鈥檒l be taken to the 鈥楴ew鈥� screen
Note: As the change occurred more than one month before today鈥檚 date, the 鈥業nclude From Date鈥� field will automatically populate with a date one month before today鈥檚 date.
- enter the start date of the new hours in the 鈥楽tart Date鈥� field. This will be the day after the date you ended the old hours
- select 鈥極K鈥� when the message 鈥�1 months restriction applied to Include from date. Check if correct鈥� appears
- note the existing date in the 鈥業nclude From Date鈥� field
- delete the existing 鈥業nclude From Date鈥�
- enter the date shown in the 鈥楽tart Date鈥� field in the 鈥業nclude From Date鈥� field
- enter the total number of hours, for the remaining jobs, in the 鈥楬ours鈥� field
- select 鈥極K鈥�
- select 鈥極K鈥� when the message 鈥榊ou must enter a CY income鈥� displays
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥榃ork Details鈥� screen
- return to the guidance you were previously following.
Step 7
On the 鈥榃ork Details鈥� screen
- select 鈥楬istory鈥� on the toolbar menu
- select 鈥楬ours Worked鈥� from the options. You鈥檒l be taken to the 鈥楬istory鈥� screen
- select 鈥楴ew鈥�. You鈥檒l be taken to the 鈥楴ew鈥� screen
Note: As the change occurred more than one month before today鈥檚 date, the 鈥業nclude From Date鈥� field will automatically be displayed with a date one month before today鈥檚 date.
- enter the start date of the new hours in the 鈥楽tart Date鈥� field. This will be the day after the date you ended the old hours
- select 鈥極k鈥� when the message 鈥�1 months restriction applied to Include from date. Check if correct鈥� appears
- note the existing 鈥業nclude From Date鈥�
- delete the existing 鈥業nclude From Date鈥�
- enter the new start date in the 鈥業nclude From Date鈥� field
- enter the end date, in the 鈥楨nd Date鈥� field, as the day prior to the 鈥業nclude From Date鈥� previously noted
- enter the number of hours the customer was working prior to their hours changing, in the 鈥楬ours鈥� field
- select 鈥極K鈥�
- select 鈥極K鈥� again when the following message is displayed 鈥榊ou must enter a CY income鈥�
Note: You must then record the new hours, only backdating the award to the one-month limit.
- select 鈥楴ew鈥�
- enter the include date you noted earlier in the 鈥楽tart Date鈥� field
Note: The 鈥業nclude From Date鈥� will automatically be displayed with a date one month before today鈥檚 date - the same date as the start date entered.
- enter the new total hours in the 鈥楬ours鈥� field
- select 鈥極K鈥�
- select 鈥極K鈥� when the following message is displayed 鈥榊ou must enter a CY income鈥�
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥榃ork Details鈥� screen
- return to the guidance you were previously following.
Step 8
On the Work Details screen
- select 鈥楬istory鈥� on the toolbar menu
- select 鈥楬ours Worked鈥� from the options available. You鈥檒l be taken to the 鈥楬istory鈥� screen
- select 鈥楴ew鈥�. You鈥檒l be taken to the 鈥楴ew鈥� screen
Note: As the change occurred more than one month before today鈥檚 date, the 鈥業nclude From Date鈥� field will automatically be displayed with a date one month before today鈥檚 date.
- enter the start date of the new hours in the 鈥楽tart Date鈥� field. This will be the day after the date you ended the old hours
- select 鈥極k鈥� when the message 鈥�1 months restriction applied to Include from date. Check if correct鈥� appears
- delete the existing 鈥業nclude From Date鈥�
- calculate the date one month before the date the customer notified TCO and make a note of this new calculated include from date
- enter the start date in the 鈥業nclude From Date鈥� field
- enter the end date, in the 鈥楨nd Date鈥� field, as the day before the new calculated 鈥業nclude From Date鈥� previously noted
- enter the number of hours the customer was working prior to change in the 鈥楬ours鈥� field
- select 鈥極K鈥�
- select 鈥極K鈥� when the message 鈥榊ou must enter a CY income鈥� is displayed
Note: You must then record the new hours. Remember to only backdate the award to the one-month limit.
- select 鈥楴ew鈥�
- enter the start date to be the same as the new calculated include from date previously noted
- delete the 鈥業nclude from date鈥�
- enter the new calculated include from date in the 鈥業nclude From Date鈥� field
- enter the total new hours
- select 鈥極k鈥�
- select 鈥極K鈥� when the following message is displayed 鈥榊ou must enter a CY income鈥�
- select 鈥極K鈥�. You鈥檒l be taken to the 鈥榃ork Details鈥� screen
- return to the guidance you were previously following.
Step 9
Note: The change will be backdated to the actual date of the change as the customer notified TCO within one month of the change.
On the Work Details screen
- select 鈥楬istory鈥� on the toolbar menu
- select 鈥楬ours Worked鈥� from the options available. You鈥檒l be taken to the 鈥楬istory鈥� screen
- select 鈥楴ew鈥�
- enter the actual hours start date of the new hours in the 鈥楽tart Date鈥� field
Note: The include from date will automatically populate with the start date of the new hours.
- enter the total new hours
- select 鈥極k鈥�
- select 鈥極K鈥� when the following message is displayed 鈥榊ou must enter a CY income鈥�
- select 鈥極k鈥�. You鈥檒l be taken to the 鈥榃ork Details鈥� screen
- return to the guidance you were previously following.
